Employee Portal Terms & Conditions
1. Authorised Use Only
The Employee Information System (EIS) is exclusively for Roy Traders employees. Access is strictly personal and non-transferable. Sharing login credentials with any third party is strictly prohibited and may result in disciplinary action.
2. Account Credentials
- Your username is generated from your name and year of birth.
- Your default password is your full date of birth (DDMMYYYY format). You are responsible for changing it after first login.
- Credentials may only be changed after verifying a personal email address via OTP.
- You must not share your OTP with anyone. Roy Traders will never ask for your OTP.
3. Data Privacy
Your personal data (name, date of birth, UAN, ESIC, wage details) is stored securely and used solely for employment and payroll purposes. Email addresses and credentials are stored in encrypted form. Data is not shared with any third party except as required by law (e.g., EPFO, ESIC submissions).
4. Session Security
- Sessions automatically expire after 10 minutes of inactivity.
- OTPs are valid for 5 minutes only.
- A maximum of 5 wrong OTP attempts is allowed before the OTP is invalidated.
- Always log out when accessing from a shared or public device.
5. Two-Factor Authentication (2FA)
Employees are strongly encouraged to enable email-based OTP login. This provides an additional layer of security and is the recommended login method. 2FA requires a verified email address.
6. Acceptable Use
- Do not attempt to access another employee's data.
- Do not use automated tools, scrapers, or bots against this portal.
- Report any suspected security vulnerabilities to the administration immediately.
- Any misuse may result in immediate account termination and legal action.
7. Data Accuracy
Wage slips and contribution reports are generated from records maintained by the HR/Payroll department. If you find any discrepancy, contact the admin immediately. The portal displays data as recorded — it does not constitute a legally binding payslip unless printed and stamped by an authorised signatory.
8. Changes to Terms
Roy Traders reserves the right to update these terms at any time. Continued use of the portal constitutes acceptance of the updated terms. Material changes will be communicated via your registered email.
9. Termination of Access
Access is automatically revoked upon employment termination or resignation. Former employees may not access the portal. Active data retention follows applicable Indian labour laws.
10. Governing Law
These terms are governed by the laws of India. Any disputes shall be subject to the exclusive jurisdiction of courts in the applicable district.
